Frequently asked questions

Account creation

How do I create an account?

Start by visiting my.greenhouse.io. You’ll be prompted to create an account using your email address. Once your email is verified, you can log in and start updating information you’d like to share when you apply for jobs through MyGreenhouse.

Do I need multiple accounts for multiple job applications?

No. The beauty of job searching with MyGreenhouse is you can use one account for all your applications. You can prefill information that we’ll save and automatically populate on applications. After you’ve applied, you can keep track of your application status and receive secure updates, all in MyGreenhouse.

What information do you collect in my account?

MyGreenhouse lets you create a robust profile, where you can add information about yourself and save it in your account so you can use it in your applications. This includes answers to common application questions like your name, contact information and social media profiles. You can add data including your language proficiency, worksite preferences (in-office vs hybrid vs remote), and location. By including information like this, you can present a more complete version of your professional self and increase your chances of standing out. All of this information makes up what we call your unique fingerprint.

What rights do I have to see what information MyGreenhouse collects, and can I have it erased?

In your MyGreenhouse account, all of the information you provide or update is optional. If you no longer want to have a MyGreenhouse account, you can delete your account from within the app. When you do, all personal information that’s saved will be immediately and permanently deleted; MyGreenhouse will no longer have your personal information, though the companies that received your personal information should be contacted directly if you wish for those companies to delete your information.

Applications

How does Quick Apply work?

Quick Apply allows you to enter your information in MyGreenhouse once, like your name, contact information, etc., and autofill it on applications. Your information is saved and stored in your MyGreenhouse account. When you’re ready to apply, you’re spared the extra work of entering it more than once, whether you’re applying to 10 or 100 jobs.

QuickApply functionality in Greenhouse

What happens after I apply to a job in MyGreenhouse:

Once you click ‘submit,’ your application will go straight into a queue on a recruiter’s dashboard in MyGreenhouse. Most recruiters review applications in the order they were submitted, or they may filter applications based on certain criteria. Recruiters will be able to view your resume, cover letter, answers to questions on your application, and any supporting documents exactly as you sent them. You can read more about what happens after you apply here.

How long should it take someone to respond to my application?

Response times vary by company, job posting and recruiters’ bandwidth. There are instances where applications are auto-advanced or auto-rejected based on certain criteria. You can gain more insights into what happens after you apply here.

Where can I view the status of my application?

Jobs you’ve viewed or applied for will appear in your account, and companies can choose to share additional information like status and emails, all in one place.

How do I know if my application is being viewed fairly?

Greenhouse offers recruiters features like resume anonymization to help them make quick, fair assessments of the most qualified candidates. You can read more about our steps to reduce bias and how we help companies demonstrate their commitment to more equitable hiring here.

What happens to the personal information in my application?

The company to which you apply becomes what’s called the “controller” of your personal information in your application. If you want to see the information you provided after you apply, make changes to the information in your application, or have the company delete your information, you should contact that company directly.

How is AI used by Greenhouse after I’ve applied?

At Greenhouse we believe AI should assist the people using our software, not replace them. Our AI functionality helps recruiters automate tasks, analyze data, and create content so they can save time, review more applications, and personally engage with a higher number of strong candidates. We do not use AI to score or rank applications, nor does AI make any decisions about whether or not you move forward in the process. You can learn more about how Greenhouse uses AI here

Job alerts

Where do I go to sign up for job alerts?

Once you’ve landed on the job board of a company that uses Greenhouse software, you can click on their active job postings. For companies who offer job alerts, you will see an option to sign up to “Create a job alert” about roles that interest you. You’ll find the option to sign up in a sidebar or at the bottom of the job post. You’ll get immediate alerts when they post new roles, and when you apply, they’ll see that you’ve been following them, demonstrating your interest in their organization.

“Create a job alert” option

Can I customize my job alerts?

Once you’ve created a job alert, you can choose which types of roles you’re interested in and how often you’d like to receive notifications. You can view your job alerts via email and when you sign in to MyGreenhouse. You can then link to the job posting directly from the alert.

What is the benefit of signing up for job alerts?

Job alerts help you find out about new roles as soon as they’ve been posted, so you don’t miss your chance to apply.

I signed up for job alerts and never received any notifications, what happened?

If you signed up for alerts and never received anything, it’s most likely the company has not posted new roles related to your search. Consider exploring more job boards at other companies on Greenhouse, so you can cast a wider net of companies and roles you’d like to hear about.

Dream Job

What is MyGreenhouse’s Dream Job feature?

Dream Job is a first-of-its-kind feature that allows you to mark your application as your top pick, notifying the hiring team your motivation for the role. Similar to how referrals work, this feature helps applicants stand out and increases your chances of being considered for the role.

How does it work?

Each month, you will be granted a certain number of credits to flag your application as your Dream Job. This makes your application more visible to the recruiting team receiving your application, and signals to them your high level of interest in the role. Once you’ve used up your monthly credits, you will no longer be able to flag applications as your Dream Job - so use them wisely! At the start of each month, your Dream Job credits will be replenished.
